General Data Protection Regulation – effective 25 May 2018

Owing to a change in the law regarding the use of personal data held by organisations it is necessary for us to clarify what data we hold about our members and how it is used.

Your Data

We hold details of your Name, Address, Telephone Numbers, Email Address (if you have one) and an Emergency Contact. These details are updated annually when you renew your membership or if you advise the Treasurer of any changes. The Treasurer maintains the Membership Record on computer. Printer copies of the Membership Record are given to the Secretary and other members of the committee if required. A printed copy of the Emergency Contacts is kept in the hall in case it is required on Club Nights.

How we use your personal information

Your contact details are used to contact you in case of need to cancel a Club Night at short notice, to send cards etc when a member is ill and to send any other information regarding the Society.

Privacy

We do not and will not share your details with any other organisation. Your contact details are not accessible via the internet and if you receive our messages via email your email address is hidden from other recipients. If you allow your membership to lapse you will receive one reminder and if you do not respond you membership record will be deleted/destroyed.
